Airtable Project Status Report: Progress and Overdue Tasks

Build a project status report from Airtable Projects and Tasks tables: percent complete, overdue tasks, workload by owner and a red/amber/green status.

Summary

A project status report from Airtable rolls up each project's tasks into percent complete, overdue tasks and upcoming deadlines, then assigns a red, amber or green status by rules you set. Connected read-only, Better Analyst reads your Projects and Tasks tables and produces the weekly status table and a short written summary for stakeholders.

How to build it in Better Analyst from Airtable

  1. In Better Analyst, open Connectors, choose Airtable and click Authorize Airtable. The connection is read-only: it can read schema and records but cannot create, edit or delete them.
  2. Choose one authorized base, then select the tables to include. 'Select all' is a snapshot, so tables added later must be added through Manage.
  3. Name the connection and save it.
  4. Give Better Analyst your status rules, for example red if 3+ tasks are overdue or the deadline is within 7 days and under 80% complete, amber if any task is overdue.
  5. Ask for a status table per project plus a three-sentence summary of risks, then save it as a weekly task.

Questions to ask

  • “Summarise open projects by owner with percent complete and overdue tasks.”
  • “Which requests are overdue, and who owns them?”
  • “Apply our RAG rules and list red projects first.”
  • “Write a short weekly status update for the client from these tables.”

  • Overdue tasks by assignee (Bar chart): Who holds overdue work, to rebalance assignments.

Keep it up to date

Save the report as a weekly scheduled task delivered every Friday by email or to a Slack channel. Note that private Project items don't post to Slack channels, so use email or a Slack DM for those.

Frequently asked questions

Do new Airtable tables appear automatically?
No. Selecting tables, even with Select all, is a snapshot; add new tables to the connection through Manage.
Can it read attachments in tasks?
Attachments come through as metadata (file names and links), not file contents.
How is this different from Airtable's interface dashboards?
Interfaces show the data you configure. This report applies your status rules across projects, compares weeks and writes the summary, and can be scheduled to email or Slack.
